Production Manager

Position Objective

The role works as part of the VO Production Team, working closely with the Head of Production and the production Creatives. The Production Manager will be responsible for delivering all delegated technical requirements of VO productions and events to the highest artistic and technical standards. VO productions will be delivered on time and within budget, complying with EHS policy and procedures, while also successfully disseminating production information and documentation to the relevant staff and stakeholders.  The Production Manager will have a strong staging, mechanist and rigging background.

Key Responsibilities 

Administration:

  • In collaboration with the Head of Production, contact Production Creatives to generate production requirements for the Venue Technical Requirements. 
  • As above negotiate and manage quotes from suppliers ensuring deliverables and work completed is consistent with Victorian Opera standards.
  • Update the technical budgets of productions from delivery of concept through to manufacturing, staging, crewing, storage, and maintenance, in liaison with Head of Production.
  • Track production spending against budgets and alert Head of Production to potential cost overrun’s prior to costs being committed. 
  • When needed, produce costings or schedules to assist with the budgeting of future productions.
  • In liason with Company Management and Head of Production contract Production staff and  labour as required and schedule work hours to be efficient and aligned. 

Production Stage:

  • Provide day to day management of all technical requirements of allocated productions by the Head of Production. 
  • In conjunction with the Head of Production, create construction methods and plans for each productions scenic elements and manage the build with contracted workshop staff ensuring elements are fit for purpose. 
  • Assist and deputise in the absence of the Head of Production the management and running of Bump ins and outs. 
  • Ensure venue and company EHS requirements are met, and clearly communicated to staff and suppliers, and ensure appropriate training is provided, through SWP’s, JSA’s and Risk Assessments.
  • In conjunction with Head of Production realise the creative team’s vision and manage all technical requirements for delegated productions in a timely, efficient, safe and cost-effective manner.
  • Once initiated by the Head of Production update and maintain the production schedules in line with production timelines and requirements. Submit the production schedule to suppliers, venue and staff in a timely manner. Initial drafts to be submitted to venues six weeks prior to bump in and final schedules one week out. 
  • Book crew, freight, suppliers, and equipment as required by the production.  
  • Create and update technical drawings in VectorWorks or AutoCad. 
  • Collaborate with the Head of Production to ensure adequate planning and utilisation of resources especially during overlapping productions. 
  • When required manage all notes and issues that come out of technical rehearsals, piano dresses, stage orchestrals and previews and work with Department Managers to allocate the appropriate resources to address them.
  • Where necessary, liaise with the Head of Production and external venues and prepare technical specifications and all other documentation if required to transfer the production to another venue.
  • Liaise with Stage Management to prepare rehearsal room requirements. 
  • Where necessary or directed be the first point of contact for the Stage Management teams, Crew, Contractors and Suppliers. 

Qualifications, skills, and experience required

  • Relevant qualifications in theatre technologies, and production/project management.
  • Experience in a similar role.
  • Ability to manage and develop a team.
  • Enthusiasm for, and experience with, the creative sector.
  • Strong project management and problem-solving skills.  
  • A team player who is self-motivated and shows initiative 
  • Strong communication and interpersonal skills with the capacity to manage relationships with multiple stakeholders (internal and external). 
  • High attention to detail, organised and the ability to work on a number of productions or events simultaneously.   
  • Proficient in MS Office and familiar with Vectorworks/AutoCad.  
  • Passion, dedication and commitment to the arts with a great attitude that embraces a positive work culture and a healthy work ethic.
