An exciting new position at The Walt Disney Company, the Production Coordinator is a full time, fixed term position working closely with the Disney Theatrical Group Australia and Beauty and the Beast Company Management. This role requires a strong administrator with a great understanding of finance in live theatre, who can also support the DTG and CM team with the day to day running of our productions.
Areas if responsibility:
- Report to Manager of Production and assist the Production Department with any and all duties as required.
- Extensive management of all financial systems, including vendor set-up, manage and track the receipt and payment of invoices, and credit card reconciliation.
- Travel booking, including but not limited to flights, accommodation, and transportation for the touring company, local and international production team.
- Assist in coordinating visas and work permits.
- Upkeep of contact management, file management and contract and travel trackers.
- Assist with pre-production setup; including but not limited to scheduling and facilitating auditions, wardrobe fittings, and other production support during rehearsal and technical periods.
- Assist in the creation and implementation of company processes, policies and procedures.
- Provide administrative assistance in the day-to-day running of the office.
- Support the Company Management team during transfers and other peak periods.
- Assist Company Management with Child Employment to secure any required permits and variations.
- Having a knowledge of, and remaining current on, all relevant certified agreements and employment conditions including but not limited to National Employment Standards, Live Performance Award and Performers’ Collective Agreement;
- And all such other services as may be required by the Producer for the Engagement.
Other
- Provide flexibility in work hours in peak periods and accessibility from time-to-time outside work hours.
- Some interstate travel, evening and weekend work as required.
- This is a run of show contract
Ideal experience:
- Minimum of two years’ experience in Arts Management, Company Management or similar field in the Performing Arts sector.
- Knowledge of creative process in live theatre.
- Excellent time management and organisation skills to ensure all priorities and multiple deadlines are met.
- Ability to prioritise and multi-task in a hectic work environment with competing demands.
- Effective and discrete communicator, able to manage confidential information.
- Strong Office skills including Excel, Word and PowerPoint
- High attention to detail and accuracy
- Logical and lateral thinker
- A strong team player who contributes to an environment that embraces collaboration, innovation and excellence.
- Strong communication skills including written, verbal and interpersonal.
