Production Coordinator

Global Creatures is an Australian enterprise, headquartered in Sydney, with offices in New York and London. We develop, produce and licence ground-breaking live theatrical productions internationally. Our most recent production, Moulin Rouge! The Musical is the winner of 10 Tony Awards, the first Australian-produced musical to originate on Broadway, and is currently playing in six cities worldwide, with more to follow. 

Global Creatures’ productions over the last 15 years include King Kong; Muriel’s Wedding The Musical; Strictly Ballroom The Musical; How To Train Your Dragon Live Spectacular; and Walking With Dinosaurs – The Arena Spectacular. 

The role

The Production Coordinator provides administrative and logistical support to the Production department.  Your key area of focus will be providing day-to-day support to Moulin Rouge! The Musical, currently playing at the Regent Theatre, Melbourne.  

You will also support the International Production team department which is responsible for seven productions of Moulin Rouge! The Musical worldwide, and developing new projects.

Key Responsibilities:

  • Maintaining various production schedules
  • Develop, manage and update production budgets
  • Assist in checking and facilitating invoice tracking and processing
  • Communicate updates to the creative team and representatives
  • Preparing employment contracts and onboarding of new employees documentation
  • Administering employee platform
  • Book venues and co-ordination contracts and correspondence
  • Booking and confirming all domestic and international flights and airport transfers for production personnel and suppliers required for transfer periods, site visits and show maintenance visits including compiling and distributing itineraries.
  • Coordinating the payment of per diems for production personnel and suppliers, as required.

Required skills and attributes:

  • Excellent attention to detail is essential
  • Excellent communication skills (both written and verbal) 
  • High level of organisational and administration skills
  • Proficient in using MS Office Word, Excel and Outlook 
  • Previous experience in accounts payable, payroll processing, financial/budget reporting and monitoring or similar
  • High level of numerical literacy, with the ability to undertake reporting and analysis 
  • Ability to work under pressure and solve problems 
  • Be a collaborative team player who is also self-motivated and can work autonomously 
  • Production, theatre or event experience is desirable
