Production Coordinator

Working under the Festival Manager, the Production Co-Ordinator provides integral support for the successful implementation and operation of the production and technical elements of the Sydney Fringe Festival. The successful applicant will need exceptional communication skills and an eye for detail in order to support the Festival team to efficiently manage the collection, storage and distribution of relevant technical information. In addition to administrative ‘desk’ time, this role is required for festival bump in and outs and contains a large degree of physical labour and time on your feet.

REMUNERATION: $65,000 per annum, plus Super (Pro rata)

STATUS: Fixed Term Contract (16 May 2022-3 July 2022: 4 days p/w; 4 July 2022-7 October 2022: 5 days p/w)

Background

The  Sydney Fringe is a cultural industries organisation and advocacy group for the live arts and music sectors. The Sydney Fringe Festival was established in 2010 www.sydneyfringe.com and has received widespread industry support and engagement from the artistic community. In 2019 over 2,900 artists were featured in over 450 works across all disciplines across 70 venues.

Assisting artists is at the forefront of everything we do. The Fringe offers a professional platform from which emerging, early career and professional artists can promote their work to new audiences. The Fringe strives to ensure that all artists have a wonderful Fringe experience. We believe that Sydney’s independent artists are what make this city so great, and as such we are dedicated to promoting the independent sector to Sydney’s mainstream audiences.

To create a terrific Fringe experience for artists it is vital that care is also taken to maintain venue relationships and strive for audience satisfaction. The Sydney Fringe team goes to extreme lengths to ensure that audiences, artists and venues have a successful festival experience; this is the essence of what makes the Sydney Fringe so unique and is essential to the success of our festival.

Key Responsibilities and Duties:

Production and Operations

  • Assist with the execution of the delivery of Sydney Fringe Festival
  • Successfully coordinate venue specific logistical and operational requirements for productions, events and venues commissioned, produced or co-produced by Sydney Fringe
  • Maintain contact with artists for all venue, WHS and technical queries
  • Maintain contact with all registered venues, to provide support with Eventotron, production, access and technical questions.
  • Maintain the Sydney Fringe storage unit and asset register
  • Maintain and update venue information including plans, equipment, facilities and accessibility
  • Under the direction of the Festival Manager oversee the execution of technical and production elements of Sydney Fringe Festival Managed Venues and Event Activations
  • Assist with producing and managing production schedules, event management plans including Risk Management Plans, internal event documentation in consultation with the Festival Manager. The Production Coordinator is responsible for the continued review and updating of the production schedules.
  • Collect and maintain artists production and technical documents
  • Ensure all the above-mentioned requirements are completed to the highest professional standards.
  • Coordinate the delivery all of the Festival Managed Venue technical and other equipment requirements (e.g. lighting; staging).
  • Under the direction of the Festival Manager, manage aspects of Managed Venue operations including any on-site ticketing provisions, bump in and bump out, front of house operations, technical, reporting and other support.
  • With the Festival Manager, collate End of Night/Session reports from Venue Managers, and take action as appropriate.
  • Manage the installation of any Venue specific signage, branding or dressing for Managed Venues and satellite venues.
  • Manage and disseminate all form-based Sydney Fringe data as related to Managed Venues,  (including but not limited to) induction forms, technical requirements, risk assessments etc
  • Maintain Managed Venue incident register
  • Attend daily production and event meetings during the festival period

Financial and Staff Management

  • Source quotes to assist with the delivery of successful budget
  • Obtain end of Festival reports from Managed and Satellite Venue Managers.

Communication

  • Work collaboratively with all members of the festival team, ensure open and clear communication and attend staff meetings.
  • Work within the organisation’s systems for documenting and communication
  • Maintain effective relationships with all venues, suppliers, contractors and staff.

General

  • Work to the Festival Timeline and key deliverable dates set out by the Festival Director/CEO, Festival Manager and Business Manager.
  • Attend Festival events and functions as required.
  • Other reasonable duties as directed by management. 

Key Skills and Knowledge

  • High emotional intelligence;
  • Strong  problem solving and negotiation skills, with a solutions-based approach;
  • Embrace flexibility and lateral thinking, facilitate solutions and make decisions based on an understanding of the relevant issues, factual information and logical assumption
  • Experience in the execution of Production and Event Plans and Risk Management;
  • The ability to effectively manage time in a multiple task environment with strict deadlines;
  • Ability to communicate and develop relationships with a broad range of people, both internal and external to the organisation, in a professional and ethical manner;
  • Excellent attention to detail and accuracy;
  • Ability to work in a small integrated team as well as the ability to work autonomously;
  • Exceptional interpersonal and verbal communication skills;
  • Patient, amiable and good humoured;
  • Strong planning and time management skills, with a proactive approach to managing competing tasks and priorities and work to deadlines;
  • Ability to maintain effective shared folder systems, files and procedural documents;
  • Enthusiasm and a positive attitude, together with an ability to be a team player;
  • Intermediate to advanced knowledge of Microsoft Office Suite and Project Management software
  • Demonstrated experience in cultivating positive relationships with venues and contractors
  • Understanding on the independent arts production
  • Demonstrated experience in the management of production budgets
  • Demonstrated experience to plan, organize and implement events
  • Demonstrated experience in Compliance and Risk Management
  • Demonstrated experience within Work Health and Safety policy implementation, as well as emergency response development
  • Current drivers license
  • Technical and Project Management software experience
