Production and Venue Coordinator

Full-time $60,000 – $68,000

REPORTS TO Technical and Venue Manager

DIRECT REPORTS Casual Operations Staff

ROLE OVERVIEW

This role reports to the Technical and Venue Manager and is responsible for joint coordination of planning, delivery and supervision of production/technical requirements for all ASO concerts and events.  The Production & Venue Coordinator works closely with orchestra management, artistic, learning and community departments, as well as with external venues and suppliers to ensure orchestra activity is delivered to the highest standard and work health and safety obligations are met. The position also services Grainger Studio venue hires and the needs of associated internal stakeholders such as ‘Friends of the ASO’. The Production & Venue Coordinator assists with coordination and maintenance of the Grainger Studio premises and ASO assets and equipment.

  • Grainger Studio Suppliers (including cleaners, waste contractors, maintenance contractors)

KEY ACCOUNTABILITIES

Set up and pack down of the orchestra for rehearsals and concerts

Perform show duties including undertaking stage changes

Liaise with venues about the orchestra’s technical requirements and scheduling

Roster and oversee the activities of casual production crew

Draw stage and rehearsal room plans while adhering to approvals processes

Identify, source, and arrange external instrument hires

Coordinate instrument tuning schedules

Coordinate cartage of all ASO instruments and equipment

Coordinate management of ASO instruments and equipment (maintaining current asset records and maintenance planning)

Any other duties, commensurate to the role that may be required from time to time at the direction of the Technical & Venue Manager or Chief Executive Officer.

SPECIAL REQUIREMENTS

  • Capacity and willingness to work outside of normal business hours on a regular basis. Rostered shifts, outside of standard business hours, are an inherent prerequisite of this position, in order to meet the ASO’s business requirements.
  • Early morning, evening and weekend work is required due to attendance at orchestral rehearsals, concerts and activities plus the involvement in the transportation and setting up of equipment. 
  • Availability to be on-call when required, in order to deal with immediate venue/premises emergencies and call-outs. 
  • Willingness and physical ability to undertake manual handling requirements as required; ability to participate in the lifting and movement, including, but not limited to moving trunks, musical instruments and other stage apparatus.
  • Current “C” class driver’s license and ability to travel/tour with the orchestra (mainly within SA, however outside SA and internationally as required)
  • Prior to commencing employment, the preferred candidate is required to have satisfactorily met the requirements of a Working with Children Screening and Pre-Employment Medical.  

PERSON SPECIFICATION

Detailed below are the qualifications, experiences/knowledge and skills/abilities identified for the position.

Essential 

  • Demonstrable production or technical experience within a performing arts organisation or venue.
  • Experience of project managing events in a similar work environment.
  • Ability to forward plan, integrate and manage multiple events and activities to strict deadlines.
  • Working knowledge of work health and safety practices within the arts/entertainment industry or Work Health Safety qualification.
  • Experience working with detailed budgets and schedules.
  • Experience delivering high standards of customer care to external and internal stakeholders, including the ability to effectively liaise with a variety of stakeholders and to solve problems constructively and sensitively

Desirable

  • Demonstrable production or technical experience within a professional orchestra. 
  • Experience working with stage plan drawing software (e.g CAD, Vectorworks or similar)
  • Experience working with arts administration and/or orchestral planning software (e.g. OPAS, Arts Vision). 
  • Knowledge of orchestral repertoire.
  • Relevant certifications; including Elevated Working Platform License, Traffic Management, Fire Warden certificate and First Aid Certificate, Portable Equipment Test and Tag. 
  • Basic workshop skills for construction in wood, metal and other materials

POSITION INFORMATION

*This position is being offered on a 0.8FTE to full time basis (Negotiable), on a 12 month contract with a start date in February 2023. The salary range for this position is $60,000 to $68,000, commensurate with experience.
