Primary purpose of the role:
The Production Administrator supports the Production Team by undertaking the administrative tasks associated with the production and technical requirements for all Sydney Symphony Orchestra concerts, rehearsals, non-concert events and activities.
The Production Administrator is responsible for the design, documentation, implementation and continuous improvement of systems and processes to facilitate the efficient delivery of the Production team’s work.
The Production Administrator facilitates information-sharing and communication between team members, as well as between internal and external stakeholders.
Hours of work are primarily Monday to Friday 9am-5pm, although some time outside these hours is required. Flexibility to assist with concerts or non-concert events from time to time, including during evenings and on weekends is required. Locations of work include the Artarmon Production Office/warehouse facility, Sydney Symphony Orchestra rehearsal and concert venues, and The Rocks Administration Office.
Key Accountabilities:
• Support the Production Manager in administrative tasks.
• Prepare and distribute Production Schedules covering all concert and event technical and production requirements.
• Liaise with third party production companies, technical equipment suppliers, venues, and other external stakeholders.
• Develop a piano management plan (hires, moves, tunes).
• Book instrument and equipment moves with Sydney Symphony Orchestra’s preferred transport provider.
• Prepare instruments and equipment for collection from the Artarmon storage facility and receive returning goods for storage.
• Assist with loading and unloading of instruments and equipment, if required.
• Work with the Operations Manager to develop and implement best practices for the entry of production-related items into the Orchestra Planning and Administration System (OPAS) and the generation of reports and documents.
• Assist the Production Coordinators with the management of Sydney Symphony Orchestra-owned instruments, equipment, road cases, etc. and assist with inventory housekeeping.
• Contribute to the development and implementation of best practice record-keeping for Exposure to Noise policy documents, sound monitoring data, reports, and risk mitigation actions.
• Book casual staff as directed by the Production Manager.
• Prepare payroll report for sign-off by the Production Manager.
• Check, process and track quotes and invoices for sign off by the Production Manager.
• Organise and attend planning meetings, prepare and distribute Minutes, monitor action items.
• Manage the Artarmon storage facility office equipment and supplies.
• Manage the Production Vehicle (van) bookings and service.
• Undertake errands driving the Production Vehicle, if required.
• Other duties as required, within the limits of the employee’s skill, competence and training.
The Production Administrator’s role requires adaptability and tasks may change during the term of employment.
