Operations Coordinator

The Role

An opportunity has arisen for an Operations Coordinator to play an integral role in a collaborative team environment. This is a hands-on and busy role where you will be supporting the Operations and Client Services teams in planning the requirements to deliver TDC’s large-scale video technology projects.

What You Have

Your experience working across multiple projects and strong attention to detail will be key to your success. We are also looking for someone with:

  • Extensive experience with resource scheduling or rostering in a high-volume environment.
  • Experience working within a busy team environment
  • A drive to solve problems and an obsession with multitasking
  • A genuine passion for people and their welfare.
  • A high level of attention to detail and thorough approach to work.
  • Exceptional analytical skills and proven decision-making capabilities.
  • Demonstrated ability to work under pressure and to tight deadlines.
  • Strong communication and the confidence to liaise with stakeholders at all levels.
  • A calm and approachable demeanor and a caring and nurturing nature.
  • The self-motivation to effectively work both autonomously and as part of a team to achieve results, accomplish goals and accept responsibility.
  • Prior experience in the AV industry or previous experience in a operations role (desirable but not essential).

What You Will be Doing

Once you’ve been trained on our systems and settled into the Operations Team, you will be:

  • The go to person for all information relating to our crew, coordinating all aspects of crew scheduling via our program – Personnel Manager.
  • Participating in forward-planning to ensure adequate crewing resources are pre-scheduled well in advanced.
  • Ensuring crew welfare standards are adhered to and monitoring crew work hours closely to ensure adequate time is scheduled for rest and training and development.
  • Building and developing knowledge of our technical equipment and staff competencies to ensure crew are rostered appropriately.
  • Making sure technical crew have all production details required and are well briefed prior to each event.
  • Reviewing timesheets, and expense claims for payroll processing
  • Maintaining crew resource databases and profiles.
  • Providing crew with travel arrangements and ensure all information is updated in Personnel Manager accordingly.
  • Confirming that all crew have appropriate PPE and uniforms for events.
  • Fostering a “safety First” workplace by handling all WHS incident and hazard reporting by following processes to ensure all information is correctly tracked.
  • Coordinating and verifying that venue inductions are completed and ensuring that crew have appropriate tickets and licensing.
  • Building close relationships with everyone in the TDC team; working closely with not only your fellow Operations team members but also with our technical, client services, warehouse, and business teams.
  • Developing lasting relationships with TDC clients, suppliers, and contractors.
