Operations and Rostering Coordinator

About the Role

Reporting to the Operations Manager, this role is centered around supporting our crew and ensuring that our events are adequately resourced with the correct compliment of skills, as per the requirements provided by our Project Management Team.

Main Tasks and Duties include;

  • Rostering and scheduling shifts in consultation with our Project Managers for a range of permanent and non-permanent staff. This is often a moving piece of work that requires iteration due to shifting business requirements.
  • Completing staff payroll entries and management of our TOIL structure on a weekly basis, along with the management of staff leave requests in consultation with the Operations Manager.
  • Ongoing review of staff licenses and certifications, with a safety-first approach and commitment to compliance. This may also include arranging external training and identifying development opportunities for staff.
  • Booking of travel, freight services and vehicle management as required, including identifying competitive rates and negotiating services within assigned budgets.
  • Assisting the People and Culture Team to ensure the successful onboarding of staff, including completing inductions as required.
  • General Administration duties such as handling of purchase orders and ad hoc reporting.

As we are a 24/7 business, this role requires flexibility where out of hours and weekend work will be required, to ensure events are crewed adequately and our service to clients is exceptional.

Experience 

  • A proven track record in a Scheduling or Rostering role. We appreciate this can take many forms and see alignment to this role within Event Management, Recruitment, Logistics and Workforce Planning fields, to name a few!
  • Experience effectively liaising with a range of internal and external stakeholders on diverse requirements in a pressurised, time critical environment.
  • Proficiency in Personnel Manager, or a similar software designed for scheduling, inventory, or resource management.
  • Experience in settings that have required you to foster positive relationships to achieve desired outcomes. Your ability to connect with others and communicate with influence will be crucial.
