Head of Production (Events)

We are seeking out a passionate experiential Head of Production to join our Sydney team and lead the development & production of live projects in the Australian market, across event and content production.

As a member of our team, you will be a leader in New Moon’s Australian Production Department. You will work cross-functionally with our full-time staff, collaborate with/oversee contracted production staff, and be involved in development of our live work and continued growth. Depending on the pipeline and value of work, you may act as the lead producer or work as the report for Producers and Junior Producers across multiple smaller projects. The project work may be a combination of Experiential Marketing, Live Event Production and/or Content Production.

You may collaborate with our Global New Moon teams in the UK and US to assist on pitch or pre-production exercises if you have relevant expertise in the creative.

You are an individual who will support fellow team members, suppliers and clients to deliver the very best end results. You are forward-thinking, and look for unique, out-of-the-box approaches to client requests; you have an appetite for creative solutions and an understanding of emerging technologies in the industry.

You have a rolodex of preferred vendor and collaborator talent/industry contacts to call upon for various project types, and enjoy meeting new vendors and learning partner capabilities that will grow the team’s network and enhance strategic production/creative output.

PURPOSE

As a key market production lead you will be responsible for planning, budgeting, recruiting and resourcing multiple projects according to requirements, and having tools to identify and overcome resourcing and supplier bottlenecks. You will work to identify freelance production talent to lead projects as needed, as well as third-party vendors across disciplines.

As production lead, you are able to understand what a job requires and pull together the sometimes-challenging requests by various stakeholders to create a best-in-class solution for your clients. Your responsibilities see you managing budgets, timelines and adapting to stakeholder requirements and changes through the project delivery into onsite execution.

A core part of this role is the development and growth of New Moon’s event FTE production department over time. You will have ownership and support of the business to build and manage a team of producers as the team continues to grow.

As part of this role you are attuned to New Moon’s quality standards and have a deep understanding of world-class events with a luxury lens.

QUALIFICATIONS & EXPERIENCE

  • 8+ years experience in event production
  • Experience in planning and executing large-scale and high-quality events with budgets upwards of $500,000 – $1MM+
  • Proven leadership skills and team management experience (oversight and delegation)
  • Ability to manage and supervise various projects/events and teams simultaneously
  • Ability to manage junior members of the Production team/department (full-time or contract) on projects that you are leading, and/or across projects that other Producers are leading when agency has several programs overlapping
  • Ability to build the required teams in order to deliver a large scale program successfully (including Technical Directors, Content Managers, Junior Producers etc) alongside Department Heads, both with New Moon and your own network contacts
  • Ability to manage deliverables using strong delegation and prioritisation skills
  • Experience working collaboratively across Production, Creative, Strategy, and Account departments
  • Ability to manage and work with client teams; certain program team structures vary based on project size/need; ability to interface with clients is a must
  • Ability to vet, bid, and manage third-party vendor partners
  • Ability to build and manage budgets and track agency profit
  • Excellent communication, written, oral, and presentation skills

ROLE RESPONSIBILITIES

  • [Team and Client Integration]
  • Work alongside designated department team members on any given pitch or live project, including Account Manager(s), Creative(s), Strategist(s) and Operations to communicate updates, deadlines, and all needs throughout the program. Work as a team!
  • Clear and thorough briefing of any design deliverables with the Creative Department
  • Communicate any flags, concerns, timeline issues, and/or questions to the team effectively to remain solution oriented in a timely manner
  • Collaborate with your Account Manager counterpart(s) on all projects to aid in proactive and effective client relationship management, through excellent written and verbal communication, presentations, and meetings
  • Attend weekly team and client meetings
  • [Third Party Vendor Sourcing, Vetting & Management]
  • Source, vet and manage third party vendors; collaborate with creative department on sourcing vendors fit for content and/or other creative deliverables
  • Tap into existing network of Production Assistants and on-site staff, and/or resource new event staff where possible/needed
  • Manage vendor payments; submit payments through NM portal and log all costs/payments in budgets
  • Strengthen vendor relationships by practicing respectful and well managed relationships
  • Build the New Moon database of vendors by actively taking meetings and introductions with new suppliers across all industry verticals
  • [Budget Management]
  • Work within existing NM template to log all vendor quotes, expenses and fees against the program
  • Work towards NM margin to spend within designated category allowances
  • Keep budgets updated weekly to reflect current spending / quotes / overall program margins
  • Keep diligent and organised records of relevant quotes, invoices and receipts that relate to the relevant projects and save in appropriate Drive folders
  • Ensure contractors are tracking hours/days accurately towards designated projects; ensure they are aligned with their contracts
  • Collaborate with Accounts Team to safeguard the executed project scope, ensuring clear and timely communication with the client on any deviations from the agreed time spend and remit
  • [Admin, Timeline & Document Management]
  • Utilise internal company templates, softwares and processes, including but not limited to Live Project Management (timelines, etc), Budgets, Time Tracking, Expense Tracking, Document Organization, Team Comms Platforms
  • Submit regular expense/time reports as per company’s cadence
  • Create workback schedule for projects to ensure tracking and delivering of all major client + internal deadlines are managed
  • Create and track all program production document(s) (i.e. Master Production Documents) to ensure overall project is remaining on track, internal team + vendors are adhering to deadlines
  • Organised track records of quotes, floorplans, documents, creative files etc. on the team project drive; organisation is key to success!
  • [Physical / On-Site Production]
  • Conduct necessary site surveys and vendor walkthroughs at event location(s); take measurements and assessments, make educated recommendations to your team on layouts, capacity, flow, and production of event / program based on expertise
  • Ensure creative/designs put forth by creative team are in line with physical space (dimensions/layout); ensure designs work from a production standpoint; work with creative on designing within budget
  • Submit/quote/obtain necessary permits needed for event(s)
  • Review all build drawings and/or necessary schematics alongside creative team
  • [Scheduling & Staffing]
  • Create production schedule and run of show for setup, live event, strike; this extends to relevant content or virtual campaign rollout as it applies to project specifics
  • Outline full production staffing plan for event/program; work with your project team to review all plans ahead of live event
  • Circulate all documents with necessary partners + ensure schedules (key dates, times, responsibilities) are clear for all participants
  • Effectively lead onsite briefings and share daily learnings and recaps with peers throughout the production to improve processes

REPORTING

You will report directly to the Client Services Director, AU and Global CEO. You will lead your project team where applicable, support any junior team members, and drive best practice in all aspects of deliverables.

KEY DETAILS

  • Location: SYD-based candidates only will be considered. This role does require face-time with team members, clients, and stakeholders and as such is not a fully-remote or at-large position
  • Full-time, in-house role as either a permanent employee or a 12-month contract
  • Working: 3 days per week in the office (Tues-Thurs), with Mondays and Fridays WFH
