Associate Producer

POSITION OVERVIEW

The Associate Producer will work with the Head of Production to develop, contribute to and deliver the company’s theatrical productions, to a first-class, international standard. The Associate Producer will lead the productions with responsibility over, but not limited to, administration, planning, budgeting, casting, rehearsal and technical planning.

KEY RESPONSIBILITIES

General Management and Production

  • Direct responsibility and oversight of the production including creative, production, technical.
  • Ensure seamless integration with international general management and producers.
  • To manage, attend, and report on all production meetings for the production.
  • Ensure consistency with company’s established processes, systems, deal terms and parameters.
  • Support Head of Production in overseeing implementation of all company policies and procedures for the production.
  • Create “knowledge base” for production and help develop and improve company artistic programs, policies and procedures.
  • Keep abreast of all current industry practice guidelines, responsibilities and duties and represent the company in these areas when and if necessary
  • Oversee the production team and infrastructure
  • Research, interview and recommend key staff appointments to the Head of Production including creative team and company management.
  • Ensure that all decisions made for productions are carried out in a timely manner and communicated to all relevant parties.
  • Direct and manage the interface with Production, Creative, and Technical departments to ensure show timings for the delivery of each project are established and met.
  • Manage the advancement of tasks to meet contractual milestones and report on this regularly to the CEO/Head of Production.
  • Liaise and oversee with relevant theatre staff and management regarding all company activity.
  • To manage, adhere to, oversee and, where necessary, write and contribute to the procurement process as it applies to the production.
  • Attend running show on a regular basis.
  • Oversee company management function and provide “pastoral care” for the actors as and when necessary on running productions.
  • Liaise with company’s legal representative on matters relating to production.
  • Ensure familiarity with necessary awards and legislation where relevant
  • Implement company’s Work, Health and Safety policy across the production

Contracts

  • Support the Head of Production with the negotiation and issuing of theatre contracts.
  • Draft and issue all contracts in respect of the production within approved frameworks.
  • Negotiate deals for creative teams, cast, production staff and stage management in line with budget and union agreements in collaboration with the CEO/Head of Production.
  • Work with the Production and Casting Administrator to co-ordinate the casting process.
  • Negotiate ticketing, government, marketing, and sponsorship agreements.

Finance

  • Preparation and review of production, transfer, and operating budgets.
  • Manage the production’s budgets and monitor, manage and report on the budget to the CEO/Head of Production and Head of Finance for the duration of the production.
  • Manage payroll and weekly box office settlement, management of weekly operating costs and expenses.
  • In collaboration with the Head of Finance monitor cash flows for productions and provide reporting as required.
  • Oversee the work of the Technical Director and all personnel with budget responsibility in delivering productions to the highest possible standards within budget and resolve any issues.
  • Ensure finance processes are implemented, maintained, and improved.
  • Oversee weekly theatre settlements.
  • Review and authorise all creative team payments and royalties.
  • Analyse financial projections and provide summaries to executive team.
  • Contribute and adhere to risk management strategies in relation to the delivery of the production.

Communications, Marketing and PR

  • Collaborate with the CEO/Head of Production and Head of Marketing to develop and manage the marketing and publicity campaign.
  • Ensure oversight of marketing activity in relation to sales forecasts; support develop and manage strategy, KPI’s and campaign activity.
  • Schedule, attend and contribute to marketing and ticketing meetings.
  • Supervise all logistics relating to press and promotional events, liaising with the press and marketing teams, performers, production departments, external venues, media outlets and broadcasters as applicable.
  • To manage the content and provision of information for inclusion in the programme and undertake proofing and review.

General

  • Liaise closely with all international partners with respect to each season on tour and provide guidance as required to those partners.
  • Liaise with relevant theatre staff and management regarding all activity.
  • Undertake and implement effective and appropriate communication, both internally and externally.
  • To ensure the production’s team integrates with other functions of the company and to maintain regular communication with the CEO/Head of Production on the production process and maintenance of the artistic standard.

  • Undertake other duties as required by the CEO/Head of Production.

Environment 

  • Position will liaise regularly with the Head of Production to ensure consistency across the company’s various productions.
  • Required to work collaboratively and willingly with a small team that is “all hands on deck”.
  • Position is required to ensure that such work is undertaken in accordance with the company’s policies.

Requirements

  • 5+ years of production experience, with strong emphasis on budgeting, scheduling, general management and production experience in the entertainment or related industries.
  • Experience in managing a team.
  • Excellent organisational skills.
  • Experience managing budgets.
  • Extensive experience in problem solving and conflict resolution.
  • Ability to travel and work outside normal business hours.
